4. Google Calendar Integration & Limited Use Disclosure

This section applies only to Total Restoration & Roofing employees and authorized representatives who choose to connect their Google Calendar to our internal scheduling system. It does not apply to customers or website visitors.

What Google data we access

When a Total Restoration & Roofing employee or authorized representative grants consent to connect their Google account, our system requests access to the Google Calendar API (scope: https://www.googleapis.com/auth/calendar). This permits us to read, create, update, and delete calendar events on the connected user's primary calendar.

How we use the data

We use Google Calendar API access for the sole purpose of synchronizing customer appointments — roof inspections, estimate reviews, project meetings, and follow-ups — between our internal CRM and the connected user's Google Calendar. Specifically:

• When an appointment is scheduled in our CRM, we create a corresponding event on the assigned representative's Google Calendar.
• When a representative updates or cancels an event in either system, the change is reflected in the other.
• We do not read events that the user did not create through our system, beyond what is needed to detect duplicates and conflicts.

Limited Use compliance

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We affirm:

• We do not use Google user data to serve advertisements.
• We do not sell, transfer, or share Google user data with third parties for purposes unrelated to providing our scheduling service to the connected user.
• We do not use Google user data to develop, train, or improve generalized or non-personalized AI/ML models.
• We do not allow humans to read Google user data unless (a) we have the user's affirmative consent for specific events, (b) it is necessary for security purposes such as investigating abuse, (c) it is necessary to comply with applicable law, or (d) the data is aggregated and used for internal operations in accordance with applicable privacy and other legal requirements.

Data storage and retention

OAuth refresh tokens and minimal sync metadata (event IDs and last-modified timestamps) are stored encrypted at rest in our private database. We do not retain full event bodies, attendee lists, or descriptions outside of the events our system originated. When a connected user revokes our application's access (via their Google Account at myaccount.google.com/connections or by clicking "Disconnect" inside our CRM), we immediately delete their stored refresh token and stop all calendar synchronization for that account.

Revoking access

You may revoke our access to your Google account at any time:

• In our CRM: open your user preferences and click "Disconnect Google Calendar."
• In your Google account: visit https://myaccount.google.com/connections, find "Total Roofing," and click Remove access.

5. QuickBooks Online Integration & Payment Processing

We use Intuit QuickBooks Online and Intuit Payments to manage invoicing and accept customer payments. When we send you an invoice:

• Your name, email address, and property/billing address are shared with Intuit QuickBooks to create the invoice and enable online payment.
• If you choose to pay online via the invoice link, your payment information (credit card or bank account) is collected and processed directly by Intuit Payments — we never see or store your full card number or bank credentials.
• Payment confirmations and transaction records are synced back to our internal system for job tracking and accounting.

Intuit's handling of your data is governed by the Intuit Privacy Statement. We access only the data necessary to manage invoices and track payments for your roofing project.

6. Information Sharing and Disclosure

We do NOT sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

• Service Providers: With trusted partners who assist us in operating our business (e.g., communication platforms, payment processors), who are contractually obligated to protect your data
• Insurance Companies: When you authorize us to communicate with your insurance carrier regarding a claim
• Legal Requirements: When required by law, court order, or to protect our rights and safety

We implement reasonable administrative, technical, and physical security measures to protect your personal information. However, no method of transmission over the Internet or electronic storage is 100% secure.
